# University systems in Dubai

How Listonics would help a Dubai university join up its student, staff and department systems, so people see one picture instead of many, with data kept protected.

Quick answer

A Dubai university runs many systems across admissions, departments, library and finance, each separate, so students and staff deal with several logins and the same data is re-entered. We would map the data flows and join up what should connect, with one sign-in where possible and strict access, so people get one picture and student data stays protected.

## A campus of systems that never met

A university in Dubai runs admissions, each department, the library, the finance office and the learning platform on their own systems. They grew up separately, bought at different times for different needs, and none of them share data.

The result is a maze. A student signs in to several systems and finds their details differ between them. Staff re-enter the same information across offices. A department cannot easily see data held centrally, and central teams cannot see what sits in departments. Everyone is working hard inside a set of systems that were never designed to join up.

## What we would look at first

We would map how data should move across the university: what admissions passes on, what departments and the library need, what finance draws on, and how the learning platform fits. We would look at what each system can share and where the same data is being entered more than once.

This is large and careful work. We would not rush to connect everything. We would agree what should flow, to whom, and under what controls, and plan it in a sensible order, before building.

## The solution we would build

The aim is one coherent picture for students and staff, built from systems that share what they should. We would connect the systems that need to talk through their supported interfaces, so a detail entered once reaches where it is needed, and move towards one sign-in where the systems allow it, so people have fewer logins.

Access would be role-based and student data protected, with every exchange logged, inside the data rules the university works under. This draws on our [Microsoft 365 and cloud](https://listonics.com/services/microsoft-365-and-cloud/) and [custom software and CRM](https://listonics.com/services/custom-crm/) services, with security on our [cybersecurity](https://listonics.com/services/cybersecurity/) page. The wider education setup is on our [IT for schools](https://listonics.com/it-support-schools-dubai/) page.

**What this project would deliver**

| Area | What it does |
| --- | --- |
| Data-flow map | A clear picture of what should move between systems |
| Supported integrations | Right data shared through each system's own interfaces |
| Fewer logins | Move towards one sign-in where systems allow |
| Role-based access | Each person sees only what their role needs |
| Protected student data | Access controlled and exchanges logged |

## How we would measure success

We would agree what to measure before starting, and compare before and after.

- Number of separate logins a student or staff member faces.

- How often the same data is re-entered across offices.

- Time lost waiting for data held in another system.

- How cleanly access to student data is controlled.

## Who would do it, and how to start

The work would sit across our [Microsoft 365 and cloud](https://listonics.com/services/microsoft-365-and-cloud/), [custom software and CRM](https://listonics.com/services/custom-crm/) and [cybersecurity](https://listonics.com/services/cybersecurity/) services, with one team that also handles the university's network and accounts, so integration is part of one secured and supported setup.

If this is close to your university, the real version starts with a careful look at your systems and the data that should flow between them. [Tell us how your campus systems connect today](https://listonics.com/contact/), and an engineer will map it with you and say honestly what can be joined up, in what order, and what cannot. The student-records side is covered on our [IT for schools](https://listonics.com/it-support-schools-dubai/) page.

## Frequently asked questions

### Can we get students down to one login?

Where the systems allow it, we move towards one sign-in so students and staff face fewer logins. Some older systems do not support it cleanly, and we would tell you which do and which do not. The aim is fewer, clearer logins rather than a promise of one that the systems cannot actually deliver.

### Will this replace our existing systems?

No. This is about joining up the systems you already run so they share the right data and people stop re-entering it, not replacing them. We work with what you have, connect them through their supported interfaces, and leave each system doing its own job.

### How is student data protected?

Access is role-based, so each person sees only what their role needs, and every data exchange is logged. Only the data that should move is connected, and all of it sits inside the data rules the university works under. We configure the controls to fit those rules rather than advise on the rules themselves.

### Is a project this size risky?

It is large, so we treat it that way. We map the systems and agree what should flow, to whom and under what controls before connecting anything, then sequence the work so the university keeps running throughout. The pace is deliberate because the systems are central and the data is sensitive.

### What if some systems cannot connect?

We tell you up front. Some systems do not offer a clean interface, and forcing a connection would be risky. We would say which can be joined up and which cannot before the project starts, so decisions are made with a full picture rather than discovered partway through.
