# IT support for cold chain and pharma logistics in Dubai

An excursion at three in the morning that nobody sees is a written-off consignment. The IT problem is alerting that reaches a person and a record that survives.

Quick answer

Cold chain logistics turns an IT failure into destroyed stock. The three things that matter are monitoring that alerts a person rather than a screen nobody watches, an audit trail that survives a dispute, and network and power built for chilled and frozen environments. Listonics covers the IT side at a fixed scope from AED 2,500 to AED 30,000 depending on requirement.

Listonics projects run from AED 2,500 to AED 30,000 as a fixed scope; support is a fixed monthly fee with response times written into the agreement. The [IT support cost guide](https://listonics.com/it-support-cost-dubai/) and [managed IT pricing guide](https://listonics.com/managed-it-services-pricing-dubai/) set out how the numbers are built.

## An unseen excursion is the whole risk

Temperature-controlled logistics differs from ordinary warehousing in one decisive way: a failure destroys the product rather than delaying it. A chiller that drifts out of range overnight can write off a pharmaceutical consignment worth more than the building's annual rent, and the loss is usually discovered hours later when somebody looks at a screen.

So the question is not whether you monitor. Nearly everyone monitors. The question is whether an out-of-range reading at three in the morning reaches a human being who can act. A dashboard is not an alert, an email to a shared inbox is not an alert, and a system whose alerting was switched off after too many false alarms is worse than no system at all because it creates false confidence.

## Alerting that actually reaches somebody

Effective alerting has four properties, and most installations lack at least two. It reaches a named person rather than a mailbox, by a channel that wakes them. It escalates if unacknowledged, to a second person and then a third. It distinguishes a genuine excursion from a door being opened during picking, because an alert that fires constantly gets muted. And it is tested on a schedule, so nobody discovers on the bad night that the notification path broke months ago.

The monitoring hardware and its sensors are usually supplied and calibrated by a specialist, and that is correct. What an IT provider properly owns is everything the alert travels through: the network the sensors report over, the connectivity that carries the message out, the power that keeps both running, and the monitoring of the monitoring so a silent system is itself noticed.

- Alerts reach a named person on a channel that wakes them, not a shared inbox.

- Unacknowledged alerts escalate automatically to a second and third contact.

- Door-open events are distinguished from genuine excursions, or alerts get muted.

- The alert path is tested on a schedule, not assumed to work.

## The record has to survive the dispute

When a consignee rejects a shipment, or an authority asks how a product was handled, the temperature record becomes the evidence. That record needs to be complete, tamper-evident, attributable and retrievable long after the shipment moved. In practice that means it cannot live only on the monitoring appliance in the chiller, which is the single most common arrangement.

Data should be replicated off the device and off site, retained for a period set against your regulatory and contractual obligations, and backed up in a way that has been restored from. For pharmaceutical work the expectations are set by the licensing regime, with the [UAE Ministry of Health and Prevention](https://mohap.gov.ae/en) being the federal authority most Dubai operators answer to, alongside whatever the product owner requires.

Our [business backup services](https://listonics.com/business-backup-services-dubai/) page covers the copy that survives, and the discipline of a monthly restore test matters more here than almost anywhere else, because the first time you need this record is the first time it will be scrutinised.

## Networks and power inside a chilled environment

Chilled and frozen spaces are hostile to equipment in specific ways. Condensation forms where warm and cold air meet, which is exactly where equipment tends to be mounted. Metal racking and dense product block wireless signal far more than an empty room suggests. Access points rated for an office fail in a freezer. And the electrical environment around compressors is noisier than in a normal warehouse.

That means equipment rated for the environment, mounted where condensation will not collect, and wireless surveyed with the store full rather than empty. It also means uninterruptible power on the network and monitoring equipment, so a brief power interruption does not blind you at the moment the refrigeration is also recovering. Our [Al Quoz](https://listonics.com/it-support-al-quoz/) page covers warehouse conditions generally, and the same principles apply with less margin here.

## When the site loses connectivity

If the internet fails, the temperature does not stop being monitored, but the alerts stop leaving the building. That is a silent failure and it is the scenario worth designing for specifically. A second connection on a different route, or a cellular fallback dedicated to the monitoring system, keeps the alert path open when the primary line is down.

Local alerting should also survive independently: an audible alarm on site and a notification to someone physically present, so a connectivity failure does not become an unmonitored night. And the monitoring system should itself be monitored, so a sensor that stops reporting raises an alert rather than quietly reading nothing.

## Dubai as a pharma and perishables hub

Dubai's position as a re-export hub means a great deal of temperature-sensitive product passes through, much of it moving between airside facilities, free zone warehouses and onward flights within hours. [Dubai Trade](https://www.dubaitrade.ae/) handles much of the transactional side, and operators often run across more than one site.

For IT that means a multi-site problem as well as a monitoring one: the same alerting standard, the same record keeping and the same security settings at each location, joined as one company rather than run as separate islands. Our [multi-location IT support](https://listonics.com/it-support-multi-location-businesses-uae/) page covers that pattern, and [IT support for logistics companies](https://listonics.com/it-support-logistics-companies-dubai/) covers the general warehouse side.

## How a cold chain engagement runs

A survey of each site including the chilled and frozen areas, a review of the existing monitoring and specifically of its alert path, and a conversation about what the record has to prove and for how long. That produces a fixed-scope proposal covering network and power in the controlled environments, connectivity with a dedicated fallback for alerting, off-site replication and retention of the temperature record, the security baseline and a tested backup. Listonics projects run from AED 2,500 to AED 30,000 depending on requirement.

We work alongside your monitoring supplier rather than replacing them. Sensors and calibration stay with the specialist; the network, connectivity, power and data retention are ours, and the boundary is written down.

## Frequently asked questions

### Do you supply temperature sensors and monitoring systems?

No. Sensors, probes and their calibration belong with a specialist supplier, and calibration in particular carries obligations we should not touch. What we own is everything the alert travels through: the network the sensors report over, the connectivity carrying alerts out, the power keeping both alive, and monitoring so a silent system is itself noticed.

### Our monitoring alerts to a shared mailbox. Is that enough?

No, and it is the most common weakness we find. A shared mailbox at three in the morning is nobody's responsibility. Alerts should reach a named person on a channel that wakes them, escalate automatically if unacknowledged, and be tested on a schedule so a broken notification path is discovered before the night it matters.

### How long should temperature records be kept?

Long enough to satisfy your licensing regime and your customers' contracts, which for pharmaceutical work usually runs to years. That is a compliance question rather than an IT one. The IT requirement is that records are replicated off the monitoring device and off site, retained deliberately rather than at a default, and restorable.

### Why does equipment keep failing in our chilled store?

Usually condensation and rating. Equipment mounted where warm and cold air meet collects moisture, and office-rated access points are not built for freezer temperatures. Equipment rated for the environment, mounted away from condensation points, and wireless surveyed with the store full rather than empty changes the failure rate substantially.

### What happens to alerting if our internet goes down?

Without planning, alerts stop leaving the building while monitoring continues, which is a silent failure. We plan a second path, often cellular and dedicated to the monitoring system, plus local audible alarming and notification to somebody on site, so a connectivity fault does not become an unmonitored night.

### What does cold chain IT support cost?

It is quoted as a fixed scope after a free survey of each site, including the controlled areas. Listonics projects run from AED 2,500 to AED 30,000 depending on requirement, with the number of sites, the size of the chilled areas and the alerting and retention requirements moving the figure most. Support is a fixed monthly fee.
