WhatsApp CRM integration connects your business WhatsApp number to your customer records. Enquiries arrive in one shared place, each chat is saved against the right customer, and quotes, reminders and receipts go out as approved messages. Listonics sets it up in your own Meta account, connects it to your CRM, and trains your team.

Best team I’ve ever hired. All in one place.
As a construction company, we have a lot to manage, so finding one team that can handle our IT and digital requirements has been really helpful. Listonics has supported us with office networking, cybersecurity, website development and SEO. Their team knows what they’re doing and has been easy to work with. We no longer need to coordinate with different companies for every requirement, which saves us time and effort. Overall, it’s been a good experience, and we’re happy to have them supporting our business.
We needed a custom ERP and HR system…
We needed a custom ERP and HR system for our business, along with a new website, and Listonics helped us with all three. The team was approachable, listened to what we wanted and made the process easier than we expected. We could discuss changes directly with them, which made a big difference. It was also convenient having one team handle everything instead of dealing with multiple companies. Overall, we’re happy with how things turned out and glad we chose them.
Listonics projects run from AED 2,500 to AED 30,000 as a fixed scope; support is a fixed monthly fee with response times written into the agreement. The IT support cost guide and managed IT pricing guide set out how the numbers are built.
The problem this solves
In most UAE businesses the customer relationship lives on WhatsApp, and WhatsApp lives on somebody's phone. The enquiry, the price that was agreed, the photo of the site and the promise to deliver on Thursday are all in a chat that only one person can see. It works until that person is on leave, off sick or working somewhere else.
The CRM, meanwhile, holds the tidy half of the story: the contact, the quote, the invoice. The half that explains what actually happened is missing. Integration closes that gap, so the record and the conversation are the same thing.
- Enquiries answered late because the one phone was busy or switched off.
- No way for a manager to see what was promised without borrowing a handset.
- Customer history lost when a member of staff leaves.
- Reminders for appointments, renewals and payments typed by hand, or forgotten.
- The same customer saved three times under three different names.
What the integration does
Your number is connected through the WhatsApp Business Platform, which Meta provides for businesses that need to message customers through software instead of a single handset. From then on, the phone number is matched to the customer record every time a message arrives or leaves.
Staff sign in with their own accounts and answer from the one business number. A new enquiry creates a lead and goes to whoever is responsible for it. A known customer's message joins their history, next to their quotes and jobs. Nothing depends on which phone was nearest.
- A shared inbox inside the CRM, with each chat assigned to a named person.
- Automatic contact matching, so every message lands on the right record.
- Approved message templates for quotes, reminders, receipts and follow-ups.
- Reminders triggered by dates already in your system, in English and Arabic.
- Opt-in recorded on the customer, with sending blocked where there is none.
- A manager's view of response times and unanswered conversations.
Do you need the API, or is the free app enough?
We ask this first, because the honest answer is sometimes that you do not need it yet. If one or two people handle all the chat and nothing needs automating, the free WhatsApp Business app is fine, and we will say so.
The API earns its cost when several people share one number, when chats must appear in the CRM, or when reminders are eating someone's morning. Our WhatsApp Business API guide sets out the difference in detail, including a side-by-side table, so you can judge it for yourself before speaking to anyone.
What it costs, and who bills what
There are three separate costs, and a clear quote keeps them apart. The first is Meta's. Meta charges per delivered message, at a rate set by the message category and the recipient's country, and bills your account directly. It publishes its current rates, so we point you to those instead of quoting a figure that may have changed.
The second is the CRM. If you use an established product, its vendor bills its own licence. If we build the CRM for you, subscriptions for our custom CRM start from AED 250 a month. The third is the integration itself, a fixed-scope project quoted after a short discovery call. Listonics projects run from AED 2,500 to AED 30,000 depending on requirement.
How we set it up
The work follows a fixed order, and the first steps are administrative. Meta verifies the business before it allows full use of the platform, so we start that early and build while it is in progress.
- Discovery: how enquiries arrive today, who answers, and what should be automated.
- Account: your Meta business portfolio and WhatsApp account, created or tidied in your company's name.
- Number: a decision on moving your existing number or starting a new one, with the switch planned for a quiet period.
- Templates: written with you in each language, then submitted for approval.
- Connection: the number joined to your CRM, with assignment rules and consent fields.
- Testing and training: real phones, real scenarios, then handover with a written guide.
The account stays yours
The business portfolio, the WhatsApp account, the number, the templates and the billing all sit under your company. We are added as a partner with access, which is how the platform is designed to work, and that access can be removed by you at any time. If you change supplier, the number and its history do not leave with us.
It is the same principle we apply to everything we build, and our article on data ownership and export explains why it matters more than any feature.
Staying inside WhatsApp's rules
A business number is an asset that can be restricted if it is misused, so the rules are built into the setup. Meta requires opt-in before a business messages someone, and customers can block or report a sender, which reduces how much that sender is allowed to send.
We record consent on the customer record, keep marketing messages for people who asked for them, and make sure every automatic reply offers a route to a person. If you would like to see how it would work for your business, tell us how your enquiries arrive today.
Frequently asked questions
Often, yes. Many established CRM products offer a WhatsApp connection of their own or through an add-on, and where that exists we configure it properly instead of building something new. Where it does not, or where the process does not fit, we connect directly to Meta's platform. We check which route suits your CRM before quoting.
They message the same kind of WhatsApp business number and get replies as before. What changes is on your side: replies come faster because any member of the team can answer, and reminders arrive on time. If you move your existing number, there is a short planned switch, which we schedule for a quiet period.
No. Most of the value comes from people answering one shared number with the full customer history in front of them. Automation is useful for acknowledgements and reminders, and we add it where it saves real time. WhatsApp's policy requires a clear route to a human in any automated flow, so a person is always part of the design.
The connection itself is quick. The parts that take time are Meta's business verification, agreeing and approving the message templates, and collecting opt-in from existing customers. We start verification on day one because later steps depend on it, and we give you a realistic date after the discovery call.
They can sign in to the CRM from a phone or a laptop and answer from the business number, so they do not need a second handset. What should stop is customer conversations on personal numbers, because those never reach the record. The switch works best when the business number is the only one you advertise.
